Accessibility for Medspas and Clinics

Patients book treatments and fill in intake forms on your website. We test those journeys with a keyboard and screen readers, and fix what gets in the way.

What we test

  • Online booking

    Choosing a treatment, a provider, a date and a time, through to the confirmation message.

  • Intake and consent forms

    Labels, required fields, error messages and time limits, from the first field to the submit button.

  • Treatments and galleries

    Service and pricing pages, and before-and-after galleries: the photos, the text that describes them, and the sliders that switch between them.

  • Patient portals and logins

    Signing in and finding appointments and forms, using a test account set up for us.

  • Locations and contact details

    Address, opening hours, phone number, map and directions, and the contact form.

Barriers we often find

  • Barrier

    A booking calendar that only works with a mouse, so a patient using a keyboard can't pick a date or a time.

    Fix

    We fix the calendar's code so it works with a keyboard and tells a screen reader which date is selected. If the calendar is another company's tool, we write up the problem for you to send to them.

  • Barrier

    Intake form errors shown only by turning a field red, so a person who can't see the color doesn't know what to fix.

    Fix

    We add a short text message next to each field that needs fixing, and make sure a screen reader announces it.

  • Barrier

    Before-and-after photos with no text description, in a slider that only works by dragging with a mouse.

    Fix

    We add a short description to each photo and make the slider work with the arrow keys, or add buttons to switch between the photos.

  • Barrier

    A popup offer that traps the keyboard, so a person can't close it or get back to the page.

    Fix

    We make the popup close with the Escape key and a labeled close button, then send the person back to where they were on the page.

  • Barrier

    Light text over a treatment photo, too faint for many people with low vision to read.

    Fix

    We darken the background behind the text or move the text off the photo, so it meets the WCAG 2.2 AA contrast level.

  • Barrier

    Intake forms as PDFs that a screen reader can't read or fill in.

    Fix

    We tag the PDF and add labeled form fields so it works with a screen reader, or help you turn it into a form on your website.

What we can't control

  • Booking widgets and patient portals are usually another company's product, and we can't change their code. We test them. If a problem is in another company's tool, we write it up for you to send to them. If it makes sense, we can also build you an accessible replacement.
  • We never need real patient records. We test with test accounts.
  • We don't give legal advice, including advice about HIPAA. Your attorney decides legal questions.
  • New photos, offers and pages can add new barriers. That's what monitoring is for.

Questions

Our booking tool is from a vendor. Can you still help?

Yes. We test the booking journey from start to finish, including the vendor's part. If a problem is in another company's tool, we write it up for you to send to them. If it makes sense, we can also build you an accessible replacement. Barriers in your own site's code, we can fix.

Do you need access to patient data?

No. We never need real patient records. We test with test accounts and made-up details. If your patient portal needs a login, we ask you or your vendor to set up a test account for us.

Which plan fits a single-location medspa?

Most start with an audit of up to 10 page templates at $1,200, which includes 1 key journey, usually booking. Intake can be added as an extra journey for $300. After the fixes, Managed testing at $275 a month has a person test 2 key journeys, like booking and intake, every quarter.

Can you check our intake PDFs?

Yes. We fix PDFs so a screen reader can read them and fill in their fields. Forms like intake forms are $10 a page, with a $200 minimum, and you get a list of what we changed in each file.

Will online booking keep working while you fix things?

Yes. We make fixes on a copy of your site first. Nothing goes live until you approve it.
